What policy management software does for a care service

A policy saved in a shared drive proves that a file exists. It does not prove that it is the current version, that anyone accountable approved it, or that the people delivering care have read it.

Good governance is one of CQC's fundamental standards, and for policies that means showing those three things on the day, rather than spending an evening rebuilding the evidence from emails and signing sheets.

Policy management software builds that record as you work. It is not a replacement for your care planning or rostering system, but it covers the documents those systems leave out.

Six things to check before you choose policy management software

Policy content written for your service

Templates save weeks, but only if they fit the care you deliver. A domiciliary care agency needs lone working and missed call procedures that a care home pack will not have.

Ask whether you can bring in the policies you already have and keep your own wording. Starting again from someone else's templates throws away work your staff already know.

Updates when guidance changes

Guidance changes through the year. What matters is how you find out, and how quickly you can see which of your own policies a change affects.

An update that arrives as a new file in your inbox still leaves you to work out what changed and who needs to know.

A record of who has read each policy

This is often the hardest part to evidence. You need a record of who received each policy, when, and when they acknowledged it.

A signing sheet in a folder is hard to keep complete and harder to search. Check that the software records each person's acknowledgement with a date and time, and shows you who is still outstanding.

Version history you can look back on

If something went wrong in March, you need the policy as it stood in March, not today's version. Check that every earlier version is kept, with who approved it and when.

A price that fits your size

Some tools charge per person who uses them. Others charge a flat fee with add-ons. Neither is better in general, so work it out for your real headcount, including bank and agency staff who also need to read and sign.

Your data, and what it costs to leave

Check that you can export everything, policies and sign-off records included, and whether there is a fee or a notice period to leave.

A trial on your own policies tells you more than any demo. Upload three real policies and send one to a few staff before you decide.

  • Show us the record for one policy: every version, who approved it, and who has signed.

  • What does it cost for our number of staff, including bank staff?
