Send a policy for staff sign-off

Build your staff list, group it by role, and send published policies out with a deadline. Your staff need no login and no seat.

What you will do

Add your staff, group them by role, and send a batch of published policies out for signature.

Your staff do not need logins

Employees in HeroDocs are a list, not user accounts. They pay for no seat and log in to nothing. They sign through a private link sent to their email.

Build the list

  1. Select Employees in the sidebar.

  2. Add Employee takes a name and an email address, one at a time.

  3. Upload takes a CSV with two columns, Name and Email. Export that from your HR system and the whole team lands in one go.

Group by role

Groups save you time every month after this.

Open the Groups tab, select Create Group, name it after a role such as Care Staff or Night Team, and tick the members.

From then on you send to a group rather than ticking twenty boxes.

Send the policies

Sending starts from the Library, because you usually send a batch.

  1. Open Library, then My Documents.

  2. Tick every policy this group needs. A selection bar appears at the bottom.

  3. Select Send.

  4. In Send to employees, select your group chip, then add any extra people by name.

  5. Set a Deadline. It shows on their page, and anyone past it is flagged as overdue on your dashboard.

  6. Select Send.

Everyone receives an email with their own private link.

One rule to remember

Only published documents can be sent. If a policy is missing from the list, it is still a draft. Open it, then use File, Publish.
