Export inspection-ready evidence

Turn any policy into a branded PDF or Word file, and export the readiness report that shows an inspector where your service stands.

What you will do

Export a single policy, then export the readiness report for your whole library.

Export one policy

Open any document and use the File menu:

  • Export as PDF produces a branded, print-ready file with your cover page as page one.

  • Export as Word gives you the .docx, because HeroDocs edits the real Word file rather than a copy of it.

Both exports carry the cover page, so the version, the policy owner and the approval date travel with the document.

Export the readiness report

Select Readiness in the sidebar, then Export PDF at the top right.

The report shows how many CQC areas your documents cover, which areas are partly covered, and which are not covered at all. It is branded, dated and ready to email ahead of an inspection or hand over on the day.

Run it before every inspection, and once a quarter in between.

The sign-off evidence

Exports prove what your policies say. The Responses tab in your Library proves your staff read them.

For any policy you can show who received it, when, when they signed, and their signature with a timestamp. Between the two, you can answer the question inspectors actually ask, which is not whether you have a policy but whether your staff know what is in it.

A tip on naming

Name your exports the way an inspector would search for them, and set a Document ID under File, Page setup. A consistent numbering scheme such as POL-001 makes an evidence folder much easier to follow.
