Set up your HeroDocs workspace

Create your account, learn the six areas of the app, and read your dashboard. Everything you need before you write your first policy.

What you will do

Create a HeroDocs account, find your way around the six areas of the app, and read your dashboard at a glance.

Create your account

HeroDocs signs you in with an email link rather than a password, so use your work email.

  1. Go to the sign-up page and enter your full name and work email address.

  2. Choose your Service type. The options are Care home, Supported living, Domiciliary care, Service provider and Other. Your choice shapes the templates and regulatory alerts you see.

  3. Agree to the terms and select Create account.

  4. Open the sign-in link in your inbox. The link lasts fifteen minutes, so check spam if it does not arrive, then use Resend link.

Choose your seats

The trial runs for fourteen days and nothing is charged until day fifteen.

Members are the people on your team who log in to work on documents. Admin seats are the people who can also invite others and handle billing. Most services start with one or two admin seats.

Your staff who only need to read and sign policies are not members. They need no login and no seat, which is covered in the staff sign-off tutorial.

The six areas

The dark sidebar on the left holds everything:

  • Dashboard is your daily summary.

  • Library holds every document you write or upload.

  • Templates builds your branded cover pages.

  • Employees is your staff list for sign-off.

  • Alerts brings you regulator changes matched to your policies.

  • Readiness scores your documents against the CQC key questions.

Your account, your team, the referral scheme and the Help Centre sit under your name at the bottom of the sidebar.

Read your dashboard

Four numbers run across the top:

  • Global Library is the master policies HeroDocs writes for you.

  • My Documents is what your service has created.

  • Recently Modified is fresh work.

  • Due for Review is anything overdue or due within thirty days. This is the one to watch.

The timeframe dropdown in the top right changes the window those numbers cover.

Below them, Recent Documents flags anything overdue, due soon or still a draft. On the right, two live scores: how many CQC areas your documents cover, and how many staff have acknowledged what you sent them.
