Invite your team and set permissions
Add colleagues as Admins or Members, understand what each role can do, and set the account preferences that decide how HeroDocs behaves.
We're recording this one. The written walkthrough below covers every step.
What you will do
Invite colleagues at the right permission level and set your account up for your service.
Two roles
Select your name at the bottom of the sidebar, then Team.
Admin can work on documents, employees and templates, and can also invite people, change settings and see billing. Your deputy manager is usually an Admin.
Member has the same document access as an Admin, but cannot invite members, change settings or access billing. A senior carer who writes policies is a Member.
Your seat counts show at the top of the page, used against bought. Invites sit under Pending until accepted, and you can resend one that got lost. Select rows and use the bulk bar to change somebody's role later.
Set your company details
Go to Account, then the Company tab. Upload your logo, which appears on your document covers and on the page your staff see when they sign, and add your service address.
Set your preferences
The Preferences tab decides what HeroDocs emails you and how the editor behaves. Two settings are worth changing on day one:
Default review period, which gives every new document a review date automatically. Quarterly or yearly suits most services.
The notification toggles for document updates, review dates and employee acknowledgements.
Turn on two-factor authentication
Under the Security tab, turn on two-factor authentication. Your account holds staff signatures and your full policy library, so it deserves more than a sign-in link.
Billing
The Billing tab shows your plan, your seats and your invoices. Add seats here when your team grows. Members are charged per person and admin seats are charged separately, so review the split before you add.
