What your staff see when they sign a policy
The staff side of HeroDocs: no login, works on a phone, read each policy then sign once with a finger. Useful to show your team before you roll out.
We're recording this one. The written walkthrough below covers every step.
What you will do
Walk through the page your staff open, so you can answer their questions before they ask.
No login, no app
Your carer receives an email with a private link. There is no password to remember and nothing to install. The page works on a phone, which matters when most of your team have no desk.
What the page shows
The page opens with their name, who sent the documents, and the date. If you set a deadline, it shows here too, and it says overdue once it passes.
Under Documents to review, every policy you sent is listed. They open each one and read it in full, with your cover page and formatting exactly as you built them.
The wording that makes it evidence
Above the buttons sits the confirmation text. It states that by accepting, they confirm they have read and understood all the documents listed, and that the response is recorded and visible to their administrator.
That sentence is what turns a click into an auditable acknowledgement.
Signing
Selecting Accept All covers every document in the batch at once. A signature pad opens and they sign with a finger or a mouse.
The signature, the date and the time are stored against every document in that batch. They can open their own record afterwards and print it for their file.
If someone selects Decline, that is recorded too and you will see it. A decline is useful information. It usually means a conversation is needed rather than a reminder.
Links are personal
Each link belongs to one member of staff. A forwarded or expired link shows a page-not-found message instead, so nobody can sign on somebody else's behalf.
